About the Opportunity
Ultimate Staffing is partnering with a leading engineering and project delivery organization to identify an experienced Document Control Manager. This mid-level administrative leadership role supports project delivery, quality management, compliance, and document control operations for large-scale design and construction projects.
The Document Control Manager will oversee and continuously improve document control systems, standards, and compliance processes that directly support project and business operations. This position requires a highly organized, self-motivated professional with strong communication and leadership skills who can exercise independent judgment regarding document control procedures, compliance requirements, corrective actions, and process improvements.
The role involves close collaboration with project managers, project administrators, engineering teams, consultants, and construction partners to ensure project deliverables are reviewed, controlled, and issued in accordance with established standards and project requirements.
Key Responsibilities
- Establish, implement, administer, and continuously improve document and data management systems, standards, records management procedures, and compliance processes.
- Configure, maintain, and govern SharePoint project sites to support document workflows, access controls, version management, and project compliance requirements.
- Manage standards for document collection, distribution, filing, version control, quality review, and controlled issuance to ensure project documentation remains accurate, complete, and compliant.
- Review contract and construction documents to verify alignment with project standards and requirements.
- Identify non-conforming documentation, recommend corrective actions, and determine appropriate resolution and escalation paths.
- Coordinate the development, review, and formal issuance of design packages, including drawings, specifications, reports, basis of design documents, and other project deliverables.
- Participate actively in design and construction project team meetings.
- Provide document control training and guidance to project teams.
- Review project schedules and deliverable calendars to ensure timely collection and control of project documentation and records.
- Develop and maintain standardized templates, reporting tools, and document libraries using Microsoft Office applications and Google Workspace.
- Support ongoing initiatives to improve document management processes and organizational efficiency.
- Perform additional duties as assigned.
Qualifications
Required
- Minimum of 5 years of direct experience in a Document Control Management role.
- Strong organizational, communication, and leadership skills.
- Demonstrated ability to work independently and proactively in a fast-paced project environment.
- Exceptional customer service and relationship-building skills.
- Basic understanding of contract administration and construction documentation.
- Knowledge of engineering, construction, and quality control processes.
- Strong attention to detail with the ability to identify errors and implement appropriate corrective actions.
- Proficiency with Microsoft Office Suite, Adobe Acrobat, SharePoint, Procore, Autodesk Forma, Google Workspace, and document management systems.
Preferred
- Experience supporting large-scale design and construction projects.
- Experience with mission-critical or data center projects.
- Bachelor's degree preferred.
- Associate degree or technical degree combined with training in engineering change control, contract administration, project management, or related disciplines will also be considered.
Compensation & Work Arrangement
- Location: San Francisco, CA
- Schedule: Hybrid work environment
- Salary Range: $90,000 - $110,000 annually
Final compensation will be determined based on factors including experience, education, skills, certifications, and overall qualifications.
